Terms and conditions
This contract is between (1) Ultrasound Imaging N.I. (“we”, “us”) and (2) you, the Client (“you”), and shall be governed by the following terms and conditions of sale (“Conditions”), none of which affect your statutory rights:
Why should you read these terms and conditions?
These terms tell you:
- Who we are,
- How we will provide the service to you,
- What to do if there is a problem,
- How you and we may change /end the contract and
- Any other important information.
Scans provided.
We provide both male and female general ultrasound scans, these scans include upper abdomen, pelvis, renal, aorta, testes, thyroid, superficial tissue and gynaecological scans.
We also provide pregnancy ultrasound scans between 6– 32 weeks, including early reassurance, reassurance and well-being, gender and well-being and 3D/4D bonding and well-being imaging.
All scans are completed by a prize winning, trained healthcare professional who is registered with the Health and Care Professions Council (HCPC), CORU and a member of the British Medical Ultrasound Society (BMUS). They have previous experience working in the National Health Service (NHS), the Health Service Executive (HSE) and in several private ultrasound clinics.
If another healthcare professional is employed to perform ultrasound scans at Ultrasound Imaging N.I. they will be registered with their registered body and have sufficient qualifications, skills and experience to perform scans to the same high standard.
We accept self-referrals and those from medical professionals, both NHS and HSE.
Pregnancy scans are not diagnostic and will only check that heart beat and foetal movements are present. For early pregnancy scans (before 14 weeks), heart beat will be identified, measurements will be taken to give an approximate expected due date and check for multiple pregnancies. Although this is a non-diagnostic obstetric service if any abnormalities are detected these will be discussed with you and we will direct you back to your health provider for further investigation.
For general health ultrasound scans, we will undertake the scan that is requested based on the clinical history you have provided. We will create a report for every general health examination undertaken and provide this to you in a paper print format and/or digitally. This will also include images and/or measurements taken during your scan. You can forward this on to the relevant medical professional(s) if required. If we deem the selected scan is not suitable after clinical history is taken, you will be informed of this and advised to contact your medical provider. If any of your symptoms persist, we always advise you seek the advice of your General Practitioner /or Consultant. If you choose to undertake the ultrasound scan for screening purposes, you acknowledge it is not exhaustive to all potential pathologies.
Medical History
At each scan, we will verbally ask you your relevant medical history, this will assist us with our examination. However, we do not have access to your full medical history and therefore cannot provide medical advice relating to any diagnosis. We will always direct you back to your relevant medical professional(s).
On occasions we may ask you to complete a short form prior /on arrival to our clinic. This form will have relevant medical information only.
For pregnancy ultrasound scans, we strongly recommend that you access all antenatal services made available to your health provider.
Ultrasound Scan – Consent
Not all ultrasound scans can be completed trans -abdominally. Gynaecological and early pregnancy reassurance may have to be completed with an internal (transvaginal) scan. You have every right to decline an internal scan. If you decline an internal scan, however, you accept that we may not be able to provide you with conclusive information. We will discuss this decision with you at the time. Should an internal ultrasound scan be necessary, and you are happy to have this done, we will ask you to read and sign a consent form before doing so.
Please be aware that a chaperone will be offered for intimate examinations and it is your right to refuse.
Age requirement
To attend your appointment, you must be 18 years or older; if you are a minor, aged 16 or 17, a responsible adult must accompany you.
Our right to change the service.
We reserve the right to modify or improve our service without prior notice. These changes are generally to reflect any changes in the laws or regulatory requirements.
Your right to change the booked service.
If you wish to make a change to your chosen service, please contact us. We will let you know whether the change is possible. There may be an adjustment in the price of the service or the timing and we will ask you if you wish to go ahead with the change.
Your right to cancel the service.
You have the right to cancel your service with us or change your mind. All we ask is that you cancel within a minimum of 48 hours’ notice prior to your scheduled appointment. This can be done via phone call or email. You will need to contact our clinic to process the £30 deposit paid if you have cancelled within the appropriate timeframe.
If you do not attend your scheduled appointment, we reserve the right to hold your £30 deposit.
Can I reschedule my appointment?
Re-scheduling is permitted. This can be done via phone call or email within a 24-hour notice period of scheduled appointment time.
If we cancel or change your appointment
We may cancel or re-schedule your appointment. This cancellation or change will only occur if there is an emergency.
If this occurs, we will give you as much notice as possible and re-schedule your appointment as soon as possible. If rescheduling is not suitable for you, we will offer a full refund of your deposit taken.
How we will contact you
If we need to contact you, we will do so via telephone or email taken from the information you have provided at your booking.
Delays with the appointment
There may be delays with your appointment that are out of our control, if this is the case we will contact you as soon as possible. If the delays occur while you are in the clinic, we will endeavour to keep you fully informed. Such delays may be if we have technical issues or changes in law or regulatory requirements. We will not be liable for delay.
Prices and Payment
We reserve the right to modify our prices at any time and without prior notice. We accept payment on debit or credit cards including Visa and MasterCard. We accept cash payments. When booking online, a deposit of £30 will be required to secure your appointment booking.
Payment will be taken prior to the examination; the receipt will be issued after payment.
Please note that early pregnancy scans are available for free from the NHS and HSE and these scans provide an expected due date.
Photography/recording
Please ask for permission before any photography is carried out in our clinic. You will receive printed images at every pregnancy scan and sometimes video clips depending on the chosen ultrasound scan. You will also receive digital copies of all images and videos saved during the scan and a digital copy of your report when completed. Recording throughout the scan is not permitted.
What we can’t guarantee with the scan
We will try our best to provide you with the best quality images/examination at the time of your ultrasound scan however this can be affected by several factors. This list includes but is not exhaustive of, your body habitus and body mass index (BMI), close proximity or overlaying bowel gas, baby’s position during a pregnancy related scan, position of placenta during a pregnancy related scan, amniotic fluid levels and abdominal scarring including previous caesarean sections during a pregnancy related scan.
For gender scans, opinion on gender from 16 weeks is never 100% accurate it is therefore advisable not to take any action based on this. Ultrasound Imaging N.I. will not be liable for any outlay incurred based on this opinion. We will do our best to identify the sex of your baby, but we cannot guarantee 100% accuracy. This can be affected by baby’s position and other factors outlined above. If we cannot see the baby’s gender due to the position of the baby you will be offered one follow up scan for free.
What do you receive with your scan?
After your ultrasound scan you will receive a printed scan report (where specified) a digital scan report (where specified) and any saved images and videos digitally. For pregnancy scans you will also get the advertised hard copy images.
Ownership of the product
We retain copyright of any images that we take. Ownership of the report shall belong to you. Images (non-obstetric ultrasound scans) can be requested if necessary for relevant medical practitioner(s).
We accept no liability for any incorrect indication of your baby’s gender.
Our liability to you
We shall not be responsible or liable for any injury, loss or damage to personal belongings whilst you are in our premises. We are only liable for our failure to comply with these Conditions and accept responsibility for loss or damage you suffer that is a foreseeable result of our breaking this contract or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is not foreseeable or not caused by us breaking the contract.
How we may use your personal information
We will use the personal information that you provide us to supply the service to you, process your payments and carry out any anonymous study or research.
When you attend for your appointment or when booking online, you will be asked to complete a form to ascertain some identity, personal and contact data. This will be used to provide our services and to create and provide your report.
We will only share information with medical professionals with your consent or when we are legally bound to by law.
When you interact or continue with our website, booking system, payment system and services we will assume that you consent and understand the privacy policy. When using Ultrasound Imaging N.I. services, you consent to the use of third-party providers including Calendly booking, Revolut payment systems and Microsoft One Drive for Business.
